1. Summary
- Your files are processed on Qyuki's own servers. Nothing is sent to outside AI services.
- Uploads, transcripts and videos are deleted automatically 48 hours after upload.
- Only you can see your history, unless you share a link with a colleague.
- Google is used only to confirm who you are when you sign in.
This policy covers Qyuki Transcribe, operated by Qyuki Digital Media Pvt. Ltd. at transcribe.qyuki.com, an internal tool for the Qyuki and MotorBeam teams.
2. What we collect
2.1 Your account
When you sign in with Google we receive your name, work email address, profile photo and the Google Workspace your account belongs to. We use this to check you are allowed in, to keep your history private to you, and to show your name on links you share.
2.2 Office-network use
If you use the Service from the Qyuki office network without signing in, we give your browser a random identifier (a cookie) so your history stays private to that browser. It contains no personal details.
2.3 Your files and what we make from them
The audio and video you upload, and the transcripts, translations, captions, Reel projects, AI results and share links created from them. These may contain personal data about the people who speak or appear in them.
2.4 Your settings
Your glossary (vocabulary and auto-corrections) is stored with your account. Other preferences, such as theme and upload defaults, stay in your browser.
2.5 Technical records
Like any web service we keep server logs (IP address, time, page or file requested, browser type) and usage counts (uploads per day, minutes processed, failed jobs) to run the Service, enforce fair-use limits and keep it secure.
3. How we use it
- To transcribe, translate, caption and edit your files, and run the AI tools you choose
- To show you your history and let colleagues open links you share
- To apply fair-use limits, investigate problems and protect the Service from misuse
We do not sell your data, use it for advertising, or use your files to train AI models.
4. Where processing happens
Speech recognition, speaker labelling, translation and AI tools run on open-source models hosted on Qyuki's own servers. Your files and transcripts are not sent to third-party AI providers.
The only outside service involved is Google, for sign-in. Google receives the usual sign-in information and does not receive your files.
5. How long we keep it
- Uploads, transcripts, captioned videos, Reel projects, AI results and share links: deleted automatically 48 hours after upload, or sooner if you delete them (Settings has a “Delete all my transcripts” button).
- Office-network browser records with no uploads: removed after 48 hours.
- Your account (name, email, glossary): kept while you use the Service; ask us to remove it at any time.
- Server logs: kept for a limited period for security and troubleshooting, then deleted.
6. Who can see your data
- You. Your history is private to your account (or, on the office network, your browser).
- Colleagues you share with. A share link is read-only, unguessable, opens only for signed-in work accounts or the office network, and stops working when you turn it off or the file is deleted.
- Administrators. A small number of Qyuki administrators can see usage figures (who uploaded how much, failures) to run the Service. They access file contents only when needed to fix a problem or meet a legal obligation.
7. Security
Connections use HTTPS. Sign-in is limited to the qyuki.com and motorbeam.com Google Workspaces. Each request is checked against the signed-in account, internal services are not reachable from the internet, and files are removed on schedule. No system is perfectly secure; tell us at privacy@qyuki.com if you notice anything wrong.
8. Cookies and browser storage
- Sign-in session (essential): keeps you signed in for up to 7 days.
- Security cookies (essential): protect sign-in against forged requests.
- Office browser identifier (essential, office network only): keeps your history private to that browser.
- Browser storage: your theme, upload defaults and notification choice, kept only on your device.
We do not use advertising or analytics cookies.
9. Your rights
You can view, download and delete your files at any time in the app. To ask for a copy of other data we hold about you, to correct it or to have your account removed, email privacy@qyuki.com. We will respond as required by applicable law, including India's Digital Personal Data Protection Act, 2023.
If you upload recordings of other people, make sure you are allowed to. People who appear in a file can contact us to have it removed.
10. Changes
We may update this policy as the Service changes. The date at the top shows the latest version. See also our Terms of Service.
